1. General Provisions
These Terms and Conditions (hereinafter referred to as “T&C”) govern the rights and obligations between Profinit EU, s.r.o., registered office at Tychonova 2, 160 00 Prague 6, Company ID: 04434081, registered with the Municipal Court in Prague, Section C, File No. 247646, as the organizer of the AI Hotspot 2025 conference (hereinafter referred to as the “Organizer”), and the ticket purchaser (hereinafter referred to as the “Participant”).
These T&C form an integral part of the participation contract concluded through the online registration system.
These T&C are effective as of August 5, 2025, and apply to all tickets purchased after this date.
2. Ticket Orders and Contract Conclusion
Tickets can only be purchased through the online registration form on the conference website.
The purchase contract is concluded at the moment of payment confirmation. The Participant will receive an electronic ticket at the email address provided during registration.
The Participant is responsible for the accuracy of the submitted information.
3. Ticket Price and Payment Terms
The ticket price is stated during the order process and is final, including VAT.
Payment can be made by credit card or bank transfer.
The ticket is valid only after full payment has been received.
4. Ticket Nature and Validity
Tickets are non-transferable and linked to the name provided during registration.
Name changes can be made no later than 48 hours before the event upon written request sent to the Organizer’s email address.
Copying, sharing, or reselling tickets is strictly prohibited.
If the Organizer determines that a Participant used a discount code not assigned to them, the Organizer is entitled to invalidate the ticket or expel the Participant from the event without any refund.
5. Cancellation Policy
Purchased tickets are non-refundable and cannot be canceled, except in cases where the event is canceled by the Organizer.
If the event is canceled by the Organizer, 100% of the ticket price will be refunded using the same payment method used for the purchase.
If the date or venue of the event is changed, the Participant may request a full refund within 14 days of the notification. Otherwise, the ticket will be automatically transferred to the new date.
6. Program Changes and Organizer’s Liability
The Organizer reserves the right to make changes to the program, speakers, or schedule for organizational reasons. Such changes are not grounds for a ticket refund.
The Organizer is not liable for any injury or damage to the Participant’s property unless caused intentionally or by gross negligence.
7. Participant Conduct
Participants are required to behave respectfully during the event and follow the Organizer’s instructions.
The Organizer reserves the right to deny entry or expel any Participant who violates event rules, misuses a discount code, harasses others, or otherwise disrupts the conference, without any entitlement to a refund.
8. Photography and Recordings
By attending the conference, the Participant unconditionally agrees that the Organizer may take photographs and audiovisual recordings of the event, which may capture the Participant’s likeness.
These materials may be used by the Organizer for marketing and promotional purposes without any entitlement to compensation.
By purchasing a ticket, the Participant acknowledges that this consent is a condition of participation in the event.
9. Complaints
The Organizer does not accept any complaints regarding tickets or services associated with the event.
10. Personal Data Protection
The Organizer processes the personal data of Participants in accordance with GDPR and the Privacy Policy available on the conference website.
By purchasing a ticket, the Participant agrees to the processing of their personal data to the extent necessary for registration and event organization.
11. Final Provisions
These T&C are governed by the laws of the Czech Republic.
The Organizer may amend these T&C unilaterally; the amended version applies to all orders placed after the date of its publication.
The invalidity of any provision does not affect the validity of the remaining provisions.
These T&C are effective as of August 5, 2025.
